In this post we will learn how to export and import data in Microsoft Dynamics 365 Thanks for this little guide.

Creating data import and export projects in D365FO

To access the data management workspace, click on the start menu in the data management workspace.

Once, within the data management work area, new projects can be created to export and import system information.

Fill in the fields “Group Name” and “Description” with the name of the project.

Click on "Add Entity" and first select the "Name of the entity" that you want to export and then the "Destination Data Format" selecting the format in which you want to export the system information.

Finally, click on “Add” to add the entity to the export list.

As many entities as needed can be selected to export and import data at the same time. It is not necessary to create a project for each entity. As shown in the following picture.

Once all the entities you need to export have been selected, click the export button.

A new form will appear, click the refresh button until the status changes to "Success". Once the export is complete, click “Download Package” to download the entities you just exported.

Finally, both files will have been exported in the format indicated above and can be opened as shown in the following image.

Import projects in Dynamics 365

As shown above, create the new import project and fill in the “Group Name” and “Description” fields.

Click Add File to display the upload menu. Select the “Entity Name” first and click the upload and add button to select the file to import (the “Source Data Format” field will be filled in automatically by the system).

As with export projects, import projects can also import more than one entity into the same project.

In the import process, depending on the relationships between the entities to be imported, it will be important to review the sequence order. In this case, “Vendor Groups” will be imported first and “Fixed Asset Groups” will be imported second. This order can be changed, the “Sequence” field as it is an editable field, so if needed, fixed asset groups can be imported first and supplier groups imported later.

Once all the entities and the sequence order have been correctly selected, click on the “Import” button and the following form will appear. Click on the “Update” button until all the entities have a correct status as shown in the following image.

In the processing status of the entity we will see for each of the imported entities the number of records created and updated.
